Overview of the Registration Procedures
1- Pre-Registration:
San José Family Camp welcomes you to another great summer camping season.

The feedback from last year’s pre-registration process was extremely positive in limiting the amount of time an individual spent registering while making the process as equitable as possible. In order to achieve this again, we will continue this pre-registration process of a random drawing for 2007.

Step One: Call for Random Code

- Beginning January through February, call the Family Camp Office at (408) 277-4666, and leave a voicemail message OR send an e-mail to: familycamp@sanjoseca.gov that includes:

1) Your name (and up to 5 other families/parties* for a maximum of 6 tent reservations); and

2) Phone number and/or e-mail address, if available.

(Please refrain from leaving multiple messages, as all calls and e-mails will be processed in the order they are received.)

TIP: Individuals wishing to coordinate more than one party of 6+ reservations should immediately call back or e-mail the additional names referencing the main contact of the first call/e-mail. This will facilitate all parties being placed in the same code. If we do not immediately receive a call back, your parties may not be able to be placed into the same group code, thank you.

- Staff will then return calls (via phone and/or e-mail) the next business day to issue a code that will be used in a random drawing. This call confirms your participation for pre-registration. If you have included other names in your phone message for additional tent reservations, your entire party will be given the same code in order to keep the party together during the registration process.

Step Two: Obtain Appointed Time

- To continue to ensure a fair and random process, there will be a drawing conducted by staff to determine the order and approximate time you and/or your party* should report for pre-register at the San Jose Family Camp offices at Leininger Center (1300 Senter Road). San Jose Family Camp staff will notify each party contact with the estimated appointment timeframe. Note that within each timeframe, your entire party will be processed along with others assigned to the same group code and registration time.

Step Three: Pre-Registration

- On pre-registration day, it is recommended that each party arrive half an hour prior to the assigned time in order to coordinate attendance of the individual tent registrants and participate in a random on-site drawing within your appointed group code. This drawing will determine the order in which parties within the same registration time will enter the Registration Room. Groups, consisting of multiple registrations, will be scheduled throughout the day at 15-minute intervals. The first groups will arrive at 6:30 a.m. for registration at 7:00 a.m. This event is listed on the application with an ending time of
1:00 p.m., this is an estimated time and may exceed listed time depending on number of requests.

Note: There will still be a limit of one tent request per application, per adult. If the adult representative for each of your parties’ tent reservations is not present upon entering the reservation room, those families/parties will have the choice of registering individually or bumping to the next time slot upon arrival of the full party. If a family/party wants to register with another family/party who received a different group code, the earlier family/party can request to be included with the later party’s group code drawing.

Reminders:

Please arrive 30 minutes prior to your appointment time to locate parking and to join your assigned group.

San José residents must bring proof of residency (original utility bill, property bill), which will be mailed back along with your reservation confirmation.

* Definition of “party” = Up to six (6) tent reservations registering at the same time. One (1) adult representative per tent reservation must be present in order to register.

2- Mail-in Registration:
Applications are mailed into the San José Family Camp Office(1300 Senter Road, SJ 95112). All mailed applications will be randomly processed each business day.

3- Walk-in Registration:
Applications can be made in person at the Family Camp Office at 1300 Senter Road, San José, CA 95112. The office hours are Tuesday, Wednesday and Thursday from 11:00 a.m. to 3:00 p.m.

4- Fax-in Registration:
Applications can be faxed to the Family Camp office 408-277-5426.
